Accept and manage invitations in the Genuin network
Learn how to accept brand partner, team member, and creator invitations, review the access each one grants, and manage memberships after joining.
Genuin uses invitations to add participants to a network with their consent. Nothing is shared and no access starts until the invited brand or person accepts. After that, access follows the assigned role and permissions in the invitation.
Invitations are how partners, team members, and creators join your network. For how partnerships fit into the product, see Network: what it does and where to start.
Invitation types
There are three kinds of invitation, and each behaves differently. A brand partner invitation connects two brands in the Network module. A team member invitation gives a person a role in your Business Account. A creator invitation lets a person publish as a creator in the Genuin app.
You can also invite community members and group members from Build > Add Users. Their invitation emails go out once the communities and groups exist in Manage. Members can also join a public community directly, or send a join request to a private community that a moderator approves or rejects.
Join requests arrive in Moderate > User Requests, along with requests to become a creator. With Auto Accept, requests from the website, Genuin SDK, or app are accepted without review. You choose which types it covers: Creator, Community Member, or Group Member.
| Invitation | Sent by | Received by | Accepted in | Link lifetime |
|---|---|---|---|---|
| Brand partner | A brand's owner or admin, from Manage > Network | The invited brand's owner, plus any admins named in the invitation | Business Account | 7 days, single use |
| Team member | A brand's owner or admin, from Settings > Manage Brand Users | One person per email address | Business Account | 7 days, single use |
| Creator | A brand, from your Business Account | One person, by email address or phone number | The Genuin app, at sign-in | Until the invitation's expiry date |
An invitation reaches you as an email, a direct invite link, or a notification in the Genuin web or mobile app. Every invitation email from Business Account links to https://brands.begenuin.com/accept-invitation. The link carries a one-time token, and the page reads it to show the right flow for the invitation.
Accept an invitation
Every invitation follows the same flow: open it, sign in, review the access, and accept.
- Open the invitation email, the invite link, or the notification. The onboarding screen opens.
- Log in with your existing account, register a new account, or use single sign-on (SSO) if the brand enabled it. You must sign in to join, so every participant is identity-mapped and verified within the network.
- Review your assigned role, the communities you're invited to, and the permissions granted, such as posting, viewing, and campaign access. This tells you what actions you can perform after joining.
- Accept the invitation. Access is activated instantly: the communities become visible in your dashboard, and features become available based on your role.
For example, a creator invitation can show this access:
| Access type | Details |
|---|---|
| Role | Creator |
| Communities | "Food Lovers", "Local Restaurants" |
| Permissions | Upload videos, join campaigns |
Before you accept, make sure the community and role match your goals, and join only communities where your participation adds value. If you sign in through SSO, learn more about single sign-on with your identity provider.
Accept a brand partner invitation
A brand partner invitation proposes a relationship between your brand and another brand. Until your brand accepts, neither brand sees the other's content. Learn more about Brand Partner Invitations and Permissions.
The sender picks your brand, a relationship type, and the communities and social handles to share. The sender can also add email addresses to become admins of your brand. Genuin creates the relationship with status pending and emails your brand's owner and each named admin. The sender sees the row as Invite Sent, and you see Invite Received.
- Open the link in the email within 7 days.
- Log in to your Business Account. If the invitation created your brand on Genuin, claim it first: verify the email address with a one-time code, set a password, and link a phone number. A new brand's relationship becomes Active when it finishes onboarding, so it skips steps 3 to 5.
- Go to Manage > Network.
- Open the row's ⋯ menu and click View Invite. The invite shows the sender, the relationship type, the content access each side offers, and the invitation history.
- Click Accept to set the status to
activeimmediately and apply the content access configured in the invitation, or click Reject to set it torejected.
If your brand still needs to accept the agreement, Business Account shows it after you sign in. You can't change content access on a received invitation: you accept or reject it as sent.
Every status change is recorded in the relationship history, which both brands can open from View Details. To review sent and received invitations side by side, see Manage sent and received invitations in the Network module.
For both brands, the relationship shows under the tab the sender created it from: Retail Brands, Consumer Brands, or Media & Entertainment Brands.
Brand partner statuses
| Status | Shown as | What it means |
|---|---|---|
| pending | Invite Sent (sender), Invite Received (receiver) | Waiting for the receiver. No content is shared. |
| active | Active | Both brands accepted. Content access follows the invitation's configuration. |
| rejected | Rejected | The receiver declined. No content is shared. The sender can edit and resend. |
A cancelled invitation is deleted, so it has no status and disappears from both brands' tables.
Relationship types
| Type | Use it when | Content access |
|---|---|---|
| Partner | The brands already work together | Each side chooses which communities and social handles to share: none, all, or a list. |
| Holding Company | The invited brand is the sender's parent | The sender shares all of its communities. The parent can switch into and manage the sender's brand. |
| House Brand | The invited brand is the sender's sub-brand | The invited brand shares all of its communities. The sender, as the parent, can switch into and manage it. |
| Aspire to Partner | No prior relationship exists | Nothing is shared until configured. |
A brand can have one holding company. An invitation that would give either brand a second holding company is rejected before it's sent. Learn more about brand relationship types and access control.
Only an active or pending Holding Company relationship counts toward that limit. A rejected or canceled one frees it up.
A house brand appears in the holding company's Brand Switcher only once the relationship is active. While it's pending or rejected, the holding company can't switch into it.
Rules for brand partner invitations
- One relationship per pair: You can't send an invitation to a brand you already have a relationship with, in any status. The error is
A relationship already exists between these brands. - Resend once a day: While an invitation is pending, the sender can resend the email from the ⋯ menu. The option is disabled for 1 day after the last email, with the tooltip
You can resend this invite in 1 day.A resend goes to every address on the invitation, and the sender can add admin addresses at the same time. - Only the latest link works: Each email carries a fresh token that lasts 7 days. Issuing a new one revokes the previous one.
- Cancel only while pending: The sender can cancel a pending invitation, which deletes it. Active relationships can't be cancelled from the Network table.
- Reject only while pending: The receiver can reject a pending invitation. Neither rejecting nor cancelling is possible while an IAB Standard Tag links the two brands, so remove the tag first.
- Edit and resend after a rejection: The sender can open Edit Brand on a rejected row, change the relationship type, shared content, or admin addresses, and send again. The brand's name and handle can't be changed. The relationship returns to
pending, with no waiting period. - Content access is set per invitation: What each side shares is fixed when the invitation is accepted. After that, either brand changes it from View Details > Edit Content Access, and the change applies immediately.
- New communities and handles: In Holding Company and House Brand relationships, new communities and social handles are added automatically on the side that shares everything. Other types need an explicit opt-in for each one.
- Handles can be added later: A social handle added after activation shows up in the listing, View Details, and Integrated Social, with no need to recreate the relationship.
Accept a team member invitation
A team member invitation gives one person a role in a brand's Business Account. An owner or admin enters one or more email addresses and picks a role: Admin, Content Manager, Viewer, or a custom role defined for the brand. Ownership isn't assigned by invitation: the owner moves it with Transfer ownership. Genuin creates a pending role for each address and emails each person a link.
The Invite Users panel opens from Invite User in Settings > Manage Brand Users. It rejects invalid and duplicate emails, existing users' emails, and emails that already have a pending invite. Preview Template shows the invitation email, and you can create a new role from the panel.
- Open the link in the email within 7 days.
- Click Accept and Continue.
- Set a password if you're new to Genuin, or enter your existing password.
- Link a phone number.
The role becomes active, the link is marked as used, and you're signed in to the brand. Learn more about Business Account Roles and Scoped Roles.
| Role | What it allows |
|---|---|
| Owner | Full control over all settings, users, content, and billing. One per brand. |
| Admin | Supports the owner. Can invite users, manage settings, and oversee day-to-day operations. |
| Content Manager | Can upload videos, manage the brand, communities, and content, and view performance insights. |
| Viewer | Read-only access to your Business Account. |
Owner and Admin both have all permissions, and Viewer has view-only permissions. These four default roles can't be deleted, and their permission checkboxes can't be changed.
Rules for team member invitations
- One role per person per brand: Inviting an address that already has an active or pending role fails with
User with email <address> already has an active role in this brand(ora pending role). Remove the existing role first. - Resend while pending: The inviter can resend the email until the person accepts. After that, the resend fails with
User invite is already accepted. There's no cooldown between resends. - Removing a pending user cancels the invitation: Deleting the person from user management deletes the pending role, and their link stops working.
- The brand must be active: Links for a deactivated brand fail with
This brand is not active. - Pending invites are listed: Manage Brand Users lists each person as Active or Pending. A pending invite's menu offers Copy Email and Resend Invite.
- Role changes are emailed: An Owner or Admin can change another user's role from the listing after confirming in a popup. The user gets a role change email.
Accept a creator invitation
A creator invitation lets a person publish as a creator for a brand in the Genuin app. The brand sends it from your Business Account to an email address or phone number. Learn more about inviting creators, hosts, and contributors.
In your Business Account, you add creators under Build > Add Users by Email, Phone, Genuin id, or Import List. You can also use Add Creator under Manage > Users > Creators.
- Genuin records the invitation with status
invitedand an expiry date, and notifies you. - Sign in or sign up in the Genuin app through the link. The app checks the invitation at sign-in: it must exist for the brand, be unexpired, and not already be accepted.
- On success, the status moves to
accepted, then toaddedonce you're attached to the brand as a creator.
Rules for creator invitations
- The link is tied to the brand: Opening it while signed in to another brand's context fails with
We're sorry, but we couldn't find your invitation to join as a creator. - Expired or deleted invitations fail at sign-in: The person has to be invited again.
- Accepted invitations can't be reused: A second sign-in with the same link is treated as a normal sign-in.
Manage invitations after you join
After you enter the network, you manage your memberships, roles, and pending invitations yourself. Request access changes as your involvement grows, and regularly review your joined communities and engagement levels.
View the communities you joined
You can see every community you're part of, your role within each community, and its access level: public, private, or premium.
Manage your role and permissions
Where the brand's configuration allows it, you can view your assigned role, request a role upgrade, and manage your posting or participation settings. For example, a member can request an upgrade to creator as they expand their involvement in the network.
Accept or decline pending invitations
If you receive several invitations, you manage each one on its own: accept it, decline it, or postpone joining. This lets you control which communities you join.
| Invitation | Status | Action |
|---|---|---|
| Fitness Community | Pending | Accept / Decline |
| Creator Campaign | Pending | Accept / Decline |
Leave a community
You can leave a community at any time. When you leave, Genuin removes your access to that community and revokes your posting and engagement permissions. Your content's visibility might be limited, based on platform rules.
What each participant manages
| Participant | Joins to | Manages after joining |
|---|---|---|
| Brand | Campaign-specific communities, content distribution networks, and sponsored or subscription-based programs | Where its content appears, campaign participation, and reporting and analytics |
| Creator | Content communities, brand campaigns, and premium or subscription groups | Publishing content, connecting social accounts for content import, and engaging with audiences |
| Member | Explore community content, engage with posts, and reach curated or premium experiences | Which communities they belong to, notification preferences, and access to gated or subscription-based groups |
Track invitation activity
Administrators can monitor invitation activity to measure onboarding effectiveness and network growth:
- Number of invitations accepted
- Active participants by role
- Engagement after joining
- Drop-off rates from invitations
Fix invitation link errors
When a Business Account invitation link can't be used, the page shows one of these states. The code is what the API returns.
| Code | Page title | Cause | What to do |
|---|---|---|---|
| 1006 | Invitation Expired | The link is older than 7 days. | Ask the sender to resend. |
| 5319 | Invitation Already Used | The link was already accepted. | Log in with the invited email address. |
| 5320 | Invitation No Longer Valid | A newer link was issued, or the invitation was cancelled. | Open the most recent email, or ask the sender to resend. |
| None | Invalid Invitation | The link is valid, but the role is already active or the brand admin cancelled it. | Log in, or ask the brand admin for a new invitation. |
